Coordinator's
Responsibility List
The Following is a list of
responsibilities for “Day of Wedding Coordination”:
Objective: The Day of Wedding
Coordinator makes sure that the wedding day
and the weeks leading up to it run smoothly.
· The wedding coordinator
will set up a meeting between the wedding
couple and any others who may be assisting
them in making decisions approximately two
to three months before the wedding day. Getting
planning started in the right direction and
services that are needed will be discussed
at this meeting. The wedding coordinator will
provide the couple with a wedding planning
worksheet and discuss wedding questionnaire.
· The wedding coordinator
will review and coordinator efforts with
all vendors contracted for wedding. Coordinator
will work closely with all vendors contracted
for wedding. Coordinator will work closely
with florist, musician/D.J., caterer, cake
designer, photographer, etc. The coordinator
will make
an intricately detailed wedding day
schedule with the wedding couple for the rehearsal,
ceremony and reception and all vendors will
receive a copy and explanation of plan two-to-three
weeks prior
to the wedding date.
This also includes:
· Preview wedding and
reception site
· Maintaining accounting
ledger of expenses and payments due to vendors.
The coordinator will complete balances due
ledger to ensure prompt, timely payments.
· Check room set-up, positioning
of tables and delivery of special linens and
other rental equipment to assure that all is
in accordance with wedding décor plan.
· The wedding coordinator
will assure that all favors, centerpieces,
and place cards receive proper placement and
that all candles are lit, etc.
· The wedding coordinator
will serve as the point person for every
vendor. She directs the event
from start to
finish.
· The wedding coordinator
will make sure set-up/décor for ceremony
and reception is according to bride’s
specifications the day of the wedding.
· Set-up of the following
items will be provided. Guest book and gift
table, cake table, and small rental equipment
such as arch, ficus trees, etc.
· The wedding coordinator
will monitor guest book and gift table until
guest book attendant arrives.
· Supervision of reception
events, such as showing couples how to cut
the cake, throw the garter/bouquet and ease
couple into dancing so that each event flows
smoothly. The wedding coordinator will adhere
to the schedule as time permits and alert couple
of upcoming events so that the couple may relax
and enjoy the wedding.
· The wedding coordinator
will assure that all guest management is
provided including reserved and assigned seating
as well as guests with no RSVP attending wedding.
· The wedding coordinator
will plan and coordinate rehearsal
· The wedding coordinator
will prepare processional/recessional plans
for wedding ceremony. Additionally, the coordinator
will organize and instruct processional line-up
and space wedding party on aisle accordingly.
· The wedding coordinator
will instruct ushers on greeting guests and
escorting procedures.
· The wedding coordinator
will distribute and pin-on flowers to all
wedding party and extended family.
· The wedding coordinator
will keep marriage license/ketuba, ring box
and miscellaneous items for wedding couple
and bridal party.
· The wedding coordinator
will gather up all items, flowers, pew bows,
and other decorations used in the ceremony,
pack them for couple, and deliver to desired
location.
· The wedding coordinator
will also pack up all gifts and personal
items and arrange to be taken from reception
or given to responsible person.
· The wedding coordinator
is happy to accommodate the couple with any
other tasks requested.
The Following is a list of
responsibilities for “Extended Package”:
· Objective: Streamline
the choices of venues, caterers, florists and
other vendors, and provide ideas and inspiration
to help make the couple’s vision a
reality.
· The wedding coordinator
will perform all duties as described in the “Day
of Wedding Coordination” responsibility
list.
· The wedding coordinator
will assist the couple in selecting vendors
for wedding ceremony and reception, including
photographer, cake designer, caterer, hotel
site, music, etc.
· The wedding coordinator
will assist the couple in creating and designing
a vision for the décor plan of the
wedding ceremony and reception sites. This
entails selection and design of favors, place
cards, linens, and all flowers including
centerpieces, alter and pew flowers, and
bouquets, etc.
· The wedding coordinator
will coordinate dress fittings and all other
appointments, as necessary. |
